Integrated large-format and bound documents

   

It enables digitization of individual, stacked pages as well as large-format and bound documents – such as technical drawings or punched contracts – in just one work cycle. In this method, the scan software DpuScan controls two scanning systems using just one profile.

In-box digitization enables significant cost savings and offers major optimization potential. Document scanners are first choice for the productive scanning of individual sheets. But what happens if important files in larger formats or stapled, punched or sealed documents arrive in your in-box? They need to be scanned separately, hence preventing a consistent and integral inbox digitization process.

Two scanners, one software

This is precisely the aspect addressed by the new solution by Janich & Klass an. It consists of two scanners – one model from the XINO document scanner family and the Zeutschel overhead scanner zeta Office – as well as DpuScan. The scan software comes with all features needed to control scanners, process images and save the scanned images. The software is designed for central scanning solutions with large document volumes, as well as for non-central, departmental work.

Recently introduced, version 6.01 allows the control of two different scanning systems using just one scan profile. The operator merely presses a button to switch between the scanners in the selected profile. This enables the scanning of individual stacks of paper, as well as special formats. It only takes a click to access the overhead scanner and digitize the special format. The operator then presses the button to return to the document scanner and process the rest of the stack.

This way all documents belonging to one process are sequentially deposited in the digital directory. There is absolutely no need for laborious follow-up work using other scan workstations to complete the document stack or to add and then replace a placeholder file.

High-performance scanning systems

The scanning systems by Zeutschel and Janich & Klass used in this context are designed for effectiveness and productiveness. For instance, the XINO scanners come with numerous features to increase efficiency. They include a unique, smooth and gentle paper transport system as well as an exchangeable feeder system to position the paper left-justified or centered. Moreover, the scanners are equipped with a dynamically variable speed concept and two separate document output trays with sorting function.

The Zeutschel zeta Office offers an innovative scanning principle for increasing operational and cost efficiency in the digitization of bound documents. They remain open on the scanning surface, and the scan is performed from above. It is easy to turn the page for the next scan. The intelligent operating software ensures the best possible result on the very first scan. Interfering elements like post-its or paper clips are automatically deleted from the image, while squint pages are straightened. Integrated output and import features enable the direct and automatic export of documents from zeta into the e-file or the electronic archive.
