Sustainable and economical: Zeutschel gives Managed Print Services (MPS) fresh impetus

Germany is European Champion - in wasting paper. This not only puts a strain on the environment but also on the budget. German companies spend between three and six per cent of their annual turnover on printing and copying. The zeta scanning system by Zeutschel demonstrates this can be done in a much more economic and environmentally-friendly manner. The machine makes the advantages of an overhead scanner – digitising documents from above – usable in an office environment for the first time.

Despite the growing use of electronic media, the volume of printing and copying in companies still remains at a consistently high level. According to Ipsos, the market and opinion research institute, European offices print an average of 31 pages per employee. European copy champions with 40 pages per day are the employees in German companies. What's shocking here is that of these 40 pages 25 per cent, i.e. 10 pages, goes straight into the bin. When you also consider consumables make up almost 50 per cent of the total costs of a printing and copying system, the savings potential quickly becomes apparent.
Solutions for Output Management and so-called Managed Print Services (MPS) that allow companies to better control and optimise printing needs are, therefore, key issues at this year's DMS Expo 2013 in Stuttgart.

Work more efficiently

The world leader in book scanners used in libraries and archives for careful digitisation of books and periodicals, is now transferring this technological approach to generic, bound office documents. These include ring binders, files and folders, as well as periodicals, contracts with eyelets, balance sheets and reference books.
With Zeutschel's zeta, the documents are placed facing upwards and are scanned from above. The document is treated more gently and also increases work efficiency.
The page can be conveniently turned after every digital copy. This does away with the need to reinsert the copied page and remove new documents, for example. And in the case of books and periodicals, these no longer need  be removed from the machine in order to turn the page and then be repositioned on the scanning surface again.

The integrated "Perfect Book" software delivers a perfect copy result from the very first scan. The lever arch mechanism and other distracting elements such as fingers holding the document are airbrushed out and documents placed crookedly are automatically rotated into portrait style.

One shortcoming many copy and print applications have, is a lack of knowledge on the user's part concerning the cost-saving features such as scanning and sending documents via e-mail. This is where zeta's touchscreen concept can help. The user is able to attain the desired result in just a few, logically-structured steps. The 12" touchscreen offers a preview of the scan, avoiding faulty copies or illegible scans.

Cost-saving and environmentally-friendly
In addition, the Zeutschel scanner reduces expenditure for consumables, thereby significantly relieving the environmental impact since it does not require paper, toner or even ink. The copies can be processed immediately – whether stored on a USB stick or network, sent as an e-mail attachment or uploaded to the Cloud. By linking to downstreamed document management and archive systems, documents can be integrated into electronic workflows immediately.

The Zeutschel zeta has already been certified by ELO Digital Office GmbH for cooperation with all three of ELO's ECM/DMS systems.

Businesses and nature profit from the combination of economic and ecological benefits According to analysts from AIIM, the ECM association, a scanner can annually save €1,250 in pure copying costs thereby saving five trees, if every existing document were only copied once and this copy cost €0.02 per sheet.
If German consumption of copy paper could be halved, this would save a volume of water corresponding to the yearly consumption of a major city such as Heidelberg. In addition, the CO2 emissions avoided would total somewhere in the region of the annual number of car journeys from 80,000 frequent travellers with an annual mileage of 25,000 km (Source: Institute for Energy and Environmental Research, Heidelberg).
